1. Who we are

2. Data collected

As part of using our automated assistant (WhatsApp agent), we may process:

• The content of WhatsApp messages (text, transcribed voice notes) sent to our professional WhatsApp Business number.
• Data necessary for managing calendar and email tasks related to this service (via Google Calendar and Gmail), when these actions are explicitly requested.
• Technical metadata related to the operation of the service (timestamps, message status).

3. Purpose of processing

This data is used exclusively to:

• Respond to requests sent via WhatsApp.
• Automate explicitly requested tasks (scheduling appointments, sending emails with prior human validation).
• Improve the reliability of the service.

4. Processors and hosting

Data may pass through the following services, strictly within the scope of providing the service:

• Meta / WhatsApp Business Platform (receiving and sending messages).
• Google (Gmail, Google Calendar), with prior agreement for sending actions.
• Artificial intelligence providers (OpenAI and Anthropic: language processing and transcription to generate responses).
• An automation host (n8n infrastructure, hosted by OVHcloud, France).

5. Data retention

Exchanged data is kept only for as long as necessary to process the request, unless otherwise required by law.

7. Security

Reasonable measures are implemented to protect data against unauthorized access.

8. Website chatbot (neoflowacademy.com)

The website offers a virtual assistant (chatbot). It is separate from the personal WhatsApp assistant described above.

• Data processed: the messages you type into the chatbot and the generated replies; if you ask to contact Régis, the information you provide (name, contact details, message); a technical session identifier generated for the conversation.
• Purpose: to answer your questions about NeoFlow Academy and, at your request, to pass your message on to Régis so that he can reply.
• Processing: your messages are processed by n8n (hosted by OVHcloud, France) and sent to Anthropic (Claude model) through its API to generate the replies. Anthropic applies its own terms: anthropic.com/legal/privacy.
• Messages passed on to Régis: they are stored in a database on the n8n server and Régis is notified through WhatsApp (Meta). No automatic deletion is configured at this time; you may request deletion of your message at the contact address.
• Technical history: the n8n server keeps a technical execution history that may contain the text of the exchanges.
• Separation of data: the chatbot has no access to any of Régis's private tools or data (emails, calendar, WhatsApp conversations). Each visitor has a separate conversation: the chatbot does not give access to other visitors' exchanges.
• Third-party service: displaying the chatbot loads files from the jsDelivr content delivery network (cdn.jsdelivr.net), which receives your IP address when you visit.

We recommend that you do not enter sensitive information in the chatbot.
